Change Password

Access: All Users

Update your login password regularly for security. If you forget your password, use the "Forgot Password" link on the login page.

2. Member Management

Managing the society's most valuable asset: its members.

Add Member

Maker Admin

Manually register a new member. Requires entering personal details, bank info, and joining date. Ideally used for bulk onboarding or when a member cannot self-register.

Member Apps (Applications)

Checker Admin

Review self-registration applications from the public portal. Verify details and Approve to create a member account or Reject if invalid.

Invitations

Board Admin

After a member is added (but hasn't set a password), send them an Invitation Email. They click the link to set their own Username and Password.

Member Directory

All Roles

Searchable list of all members. Click on a member to view their detailed profile, loan history, and account status.

3. Financial Operations

The daily accounting workflow involving Makers (Entry) and Checkers (Approval).

Core Concept: Maker-Checker
Most financial actions entered by a Maker (Clerk) enter a "Pending" state. A Checker (Officer) must verify and "Approve" them to finalize the transaction.

Record Payment

Maker

The central starting point for money inflow.

  1. Select Member.
  2. Enter Total Transaction Amount.
  3. Split this amount into components (e.g., ₹500 Thrift, ₹2000 Loan EMI).
  4. Submit. Validation ensures Sum(Components) == Total.
One-Window Approvals Hub

Checker Board Admin

The consolidated single-window verification hub.

  • View all pending Deposits, Loan Sanctions, RD Validations, and Member Self-Registrations in one place.
  • Review breakdowns, verify against bank statements/physical proofs, and take inline action.
  • Approve to commit to ledgers, or Reject with mandatory audit reason.
  • Inherited direct links to specialized registries and member financial profiles.
Society Accounts & Passbooks

Admin Treasurer

Manage the Cooperative's own bank accounts and ledgers.

  • Passbook View: Full transaction history with debit, credit, and running balance.
  • In-Society Transfers: Move funds between society accounts with automated paired debit/credit records.
  • Member Payments: Record loan disbursements, RD maturity payouts, and thrift refunds.
  • Expenditure & Fees: Record administrative expenses (audit fees, rent, printing, etc.).
  • Direct Income: Record bank interest, investment dividends, and admission fees.

4. Banking Products (Loans & RD)

Loans

Loan Products (Config)

Define rules: Interest Rate (EMI/Reducing), Max Amount, Max Tenure. Example: "Short Term Loan" @ 10%.

Apply Loan

Members select a product, enter amount/tenure, and see a repayment schedule preview before submitting.

Loan Apps & Registry

Admins view applications to Sanction (Approve eligibility) and the Registry tracks all active loans.

Recurring Deposits (RD)

graph TD RDConfig[Admin: RD Config] --> RDApply[Member: Apply RD]; RDApply --> RDOpen[Maker: Open RD]; RDOpen --> RDActive[Status: Active]; RDActive --> RDPay[Monthly Installment]; RDPay --> RDMature[Maturity Date]; RDMature --> RDPayout[Payout & Close];
RD Config

Set Interest Rates matrix based on Tenure (e.g., 12 months = 6%, 24 months = 7%).

Open RD

Process member applications to open a new account. System generates an Account Number.

5. Reports & Audits
